Privacy policy

CrawlCoach ("CrawlCoach", "we", "us") helps website owners find out why Google does not index their pages. This policy explains what data we collect, why we collect it, how long we keep it, and who we share it with.
Data we collect
Account data
When you create an account, our authentication provider, Clerk, collects your name, email address, and profile picture from the sign-in method you choose. We store your email address to send you reports and service emails.
Data from Google APIs
When you connect Google Search Console, you grant CrawlCoach the https://www.googleapis.com/auth/webmasters scope. With that access, CrawlCoach reads and stores:
- The list of Search Console properties your Google account can access, and your permission level for each.
- The sitemaps submitted for the properties you choose to monitor.
- URL Inspection results for URLs in those sitemaps: index status, coverage state, crawl date, robots.txt state, and the canonical URLs that you and Google chose.
- Search performance for each page: clicks, impressions, click-through rate, and average position.
CrawlCoach also uses this access to resubmit your sitemaps to Google when your pages change. CrawlCoach does not read Search Console data for properties you do not choose to monitor, and it never changes your website.
Clerk stores the OAuth tokens that Google issues. CrawlCoach requests a short-lived access token from Clerk only when it needs to call a Google API for you.
Website data
CrawlCoach reads your public sitemaps, your public robots.txt file, and the title, meta description, and main heading of your public pages. It identifies itself as CrawlCoachBot.
Payment data
Stripe processes payments. We receive your plan, billing status, and the customer ID that Stripe assigns. We do not receive or store your card number.
Usage data
We use cookies that are needed to keep you signed in. We also use two analytics services that set cookies:
- Google Analytics collects information about how you use the CrawlCoach website, such as pages viewed and sign-ups.
- Microsoft Clarity records how visitors use our public pages, such as clicks, scrolling, and mouse movement, to make session replays and heatmaps. Clarity masks what you type into forms. Clarity does not run in the signed-in dashboard, so it never records your Search Console data or reports.
Your cookie choices
If you visit from the European Union, the European Economic Area, the United Kingdom, or Switzerland, analytics and advertising cookies stay off until you accept them in our cookie banner. Elsewhere, they are on by default. Wherever you are, you can change your choice at any time with the Cookie settings link at the bottom of every page. When you turn analytics off, we delete the Google Analytics and Clarity cookies. We keep your choice in a cookie named cc_consent for six months.
How we use data
- To build your index health report and coach reports, and to show them in your dashboard.
- To monitor your sites, resubmit sitemaps, and send alerts and reports by email.
- To bill you for your plan.
- To keep the service secure and to fix problems.
Google API Services User Data Policy
CrawlCoach's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically:
- We use Google user data only to provide and improve the features you see in CrawlCoach.
- We do not sell Google user data, and we do not use it for advertising.
- We do not use Google user data to develop, improve, or train generalized artificial intelligence or machine learning models.
- People at CrawlCoach do not read your Google user data, except with your permission, for security reasons, to comply with law, or when the data is aggregated and anonymized for internal operations.
Who we share data with
We share data only with service providers that run CrawlCoach for us:
- Cloudflare hosts the application and database, and sends our emails.
- Clerk manages sign-in and stores your Google OAuth tokens.
- Stripe processes payments.
- AI model providers write the coach reports. For each report, we send the page URLs, index status, search performance numbers, and page titles and descriptions needed for that report through Cloudflare AI Gateway to one model provider, currently Anthropic. We request zero data retention where the provider supports it, and providers do not use this API data to train their models.
- Google provides Google Analytics.
- Microsoft provides Clarity session replays and heatmaps for our public pages.
We do not sell personal data. We disclose data if the law requires it.
How long we keep data
- We keep your data while your account is open.
- When you remove a site, we delete its URLs, inspection results, and reports.
- When you delete your account, we cancel your plan right away and delete your data within 30 days, except billing records that the law requires us to keep.
Your choices
- You can remove CrawlCoach's access to Google at any time in your Google account settings. Monitoring stops when you do.
- You can remove a site from your dashboard.
- You can ask us to send you a copy of your data, correct it, or delete your account by emailing support@crawlcoach.com.
Security
We encrypt data in transit with TLS. Our providers encrypt stored data. Access to production systems is limited to the people who run CrawlCoach.
Children
CrawlCoach is for businesses. It is not for children under 16, and we do not knowingly collect their data.
Changes
If we change this policy in a way that matters, we email you before the change takes effect.
